So to figure out where to start, I did some research and spoke to Caroline Marshall, who runs her own VA company called Upsource. So what exactly is a VA?<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Virtual assistant definition<\/h3>\n\n\n\n<p>A virtual assistant (VA) is an assistant who supports you remotely, like a personal assistant (PA) for our online world. They might help you run your business or even handle aspects of your personal life, like scheduling appointments or ordering goods online. They are often self-employed contractors who work from home. But there are also VA agencies and VAs can do their job from anywhere with good internet access.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"Why_hire_a_virtual_assistant\"><\/span>Why hire a virtual assistant?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>Being self-employed doesn\u2019t mean you have to do everything yourself. It\u2019s something we believe very strongly at Jimdo, and it\u2019s why we\u2019ve made it easy to create a professional website, complete with texts, images, and a professional design to match your business. <\/p>\n\n\n\n<p>If you\u2019re still spending more hours on admin <a href=\"https:\/\/www.jimdo.com\/blog\/should-you-outsource-or-do-everything-yourself\/\">tasks that you could outsource<\/a> than on billable work that earns you money, then it might be time to consider hiring a virtual assistant. Freelancers and small business owners use virtual assistants for lots of different reasons. Here are some examples:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>You want to spend more time doing what you\u2019re best at<\/strong> and delegate the tasks you hate (like admin, answering emails, chasing up overdue invoices or pitching new clients). If you\u2019re a creative professional\u2014like a <a href=\"https:\/\/www.jimdo.com\/website\/music\/\" target=\"_blank\" rel=\"noreferrer noopener\">musician<\/a>, designer, or writer\u2014then freeing up your headspace and schedule for creative time is even more important.<br><\/li><li><strong>You want to increase your revenue by spending less time on work you don\u2019t get paid for<\/strong>\u2014like sending emails, prospecting, and other admin\u2014and instead, focus on billable client work that\u2019s more lucrative for you. A skilled VA is also likely to be much more efficient at administrative tasks, so it can be more cost-effective to pay them rather than use your own time.<br><\/li><li><strong>You\u2019re feeling overwhelmed<\/strong> and <a href=\"https:\/\/www.jimdo.com\/blog\/when-to-turn-down-work\/\">turning down freelance work<\/a> more often than you\u2019d like, and you need <strong>help to make your business run more efficiently<\/strong>.<br><\/li><li>You have recently <a href=\"https:\/\/www.jimdo.com/blog\/how-to-ask-for-more-money-as-a-freelancer\/\">increased your freelance rates<\/a> and want to <strong>reinvest some of that income back into your business<\/strong>.<br><\/li><li><strong>You want to find a better work-life balance.<\/strong> A good virtual assistant can free up extra time to spend with your family, and you could have someone around to handle everyday admin or answer emails while you\u2019re on vacation. More vacations? Yes, please!<br><\/li><li><strong>You\u2019ll have a backup person for emergencies<\/strong>. For example, if you fall ill or have to take time off unexpectedly, having a VA who you already know can be really helpful.\u00a0<\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"What_exactly_does_a_virtual_assistant_do\"><\/span>What exactly does a virtual assistant do?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>There\u2019s really no limit to what a virtual assistant can do\u2014providing they <a href=\"https:\/\/www.jimdo.com/blog\/home-office-tools\/\">can do it remotely<\/a>, as they don\u2019t usually work in-house. It\u2019s all about finding the right VA with the skills to complement your business. Here are some examples of tasks that virtual assistants can do:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Administrative tasks.<\/li><li>Organizing and responding to emails.<\/li><li>Updating your <a href=\"https:\/\/www.jimdo.com\/website\/business\/\">business website<\/a> or <a href=\"https:\/\/www.jimdo.com\/website\/portfolio\/\">online portfolio<\/a>.<\/li><li>Diary and schedule management.<\/li><li><a href=\"https:\/\/www.jimdo.com\/blog\/online-networking-linkedin-guide\/\">Networking on platforms like LinkedIn<\/a>.<\/li><li>Finding new clients and creating proposals.<\/li><li>Social media management.<\/li><li>Graphic design (if they specialize in this skill).<\/li><li>Recruitment management\u2014like screening CVs or vetting potential employees.<\/li><li>HR and people management.<\/li><li>Installing or switching over to new software. Want to switch from your old email provider to Gmail? A virtual tech-savvy VA can handle that.<\/li><li>General problem-solving.<\/li><li>Minute taking\u2014by <a href=\"https:\/\/www.jimdo.com/blog\/live-streaming-tools\/\">attending meetings virtually<\/a> or recording to transcribe later.\u00a0<\/li><li>Personal administration\u2014like getting quotes for home improvements or finding a cleaner.<\/li><\/ul>\n\n\n\n<p>\u201cThere are even VAs who niche right down to specific platforms, like Pinterest,\u201d says Caroline. \u201cSo if you\u2019re looking for a VA to handle a specific task or tasks, you can approach a VA company who will be able to help you find the right person. You might just have to wait a little bit longer for your perfect match.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"How_many_hours_do_virtual_assistants_work\"><\/span>How many hours do virtual assistants work?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>It depends on what you need and the VA you hire. Virtual assistants can work for a few hours a month and upwards. Caroline gives us an example, \u201cOur retainer packages start at a minimum of 10 hours per month. We usually find that, if clients need a VA, they can easily fill and see a return from those hours. For them, it can work out to getting back 1-2 days every month.\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"How_much_does_a_virtual_assistant_cost\"><\/span>How much does a virtual assistant cost?<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p>Virtual assistants can cost anything from $25 per hour for a general admin VA to $60+ for a specialist, like a marketing or design assistant. That said, rates for virtual assistants vary depending on what level of support you need, what tasks you need help with, and how many hours a month want them to cover.&nbsp;<\/p>\n\n\n\n<p>How much a virtual assistant costs can depend on what country you\u2019re in, but because VAs work remotely, there\u2019s less variation in costs than with an in-house employee, for example. Working with a VA company can be more expensive than hiring a freelancer, but this varies greatly by country, skillset, and industry sector.<\/p>\n\n\n\n<p>Most VAs charge an hourly rate because their tasks can vary from month to month. But you might prefer to negotiate a flat project rate if your VA will be working with a set goal and timeframe. But hiring a virtual assistant is where most business owners come unstuck. What tasks should you assign them? How much do they need to know? How will they access the right areas of your business?<\/p>\n\n\n\n<p>Here\u2019s how to prepare for hiring a VA:<\/p>\n\n\n\n<ol class=\"wp-block-list\"><li><strong>Start by making a list of what you actually do every day.<\/strong> Before you officially hire a VA, take a close look at where you really spend your time. Use a time tracking app like Toggl and spend a week logging what you\u2019re doing as accurately as you can.<br>\u00a0<\/li><li><strong>When the week is over, go back and review. <\/strong>If you notice that you\u2019re spending lots of time on things like admin, responding to emails, pitching new clients, dealing with customer enquiries, or catching up with processing sales\u2014that\u2019s where a VA can help.\u00a0<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"ez-toc-section\" id=\"What_to_remember_when_you_hire_a_VA\"><\/span>What to remember when you hire a VA<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Always include a trial period.<\/strong> Always go for a VA who offers a trial period, because you\u2019ll only really know if it\u2019s a good fit once you start working together. \u201cIt\u2019s very easy to break trust,\u201d says Caroline, \u201cThat\u2019s why we start new clients on a three-month trial period to make sure we\u2019re the right fit. It\u2019s good to take a leap of faith but if it doesn\u2019t work out, there shouldn\u2019t be any pressure from your VA or agency.\u201d\u00a0<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>Discuss security and confidentiality precautions.<\/strong> A virtual assistant will need access to different areas of your business to do their job. That\u2019s why I\u2019m only going to consider personal recommendations when looking for potential assistants. If you\u2019re working with a VA agency, ask what background checks and security assurances they provide with their service. Always use your discretion when sharing personal information or confidential data like <a href=\"https:\/\/www.jimdo.com\/blog\/password-security-tips\/\">passwords<\/a>, and if you are in any doubt, seek legal advice before committing to a contractor or service.<\/li><\/ul>\n\n\n\n<div class=\"jimdo-alert\">Please note that Jimdo cannot and does not offer legal advice. Have you made the right choice? Here\u2019s what to look out for:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3 signs of a good VA<\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>They have used lots of different systems.<\/strong> We all have our favorite <a href=\"https:\/\/www.jimdo.com\/blog\/20-online-tools-for-every-freelancer\/\">online tools<\/a> and apps, so a good VA will be comfortable using all the most popular options and happy getting to grips with new systems quickly.<br><\/li><li><strong>They are proactive about helping you achieve your goals.<\/strong> Your goal might be to grow your revenue, to <a href=\"https:\/\/www.jimdo.com\/blog\/sell-online-with-jimdo\/\">start selling online<\/a>, or to have a better work-life balance. A good VA will actively seek out ideas and opportunities to help you do that. \u201cA good VA will help you grow, not just cost you money,\u201d says Caroline, \u201cIt\u2019s almost impossible to grow while you\u2019re doing everything yourself. Any business owner will tell you that.\u201d\u00a0<br><\/li><li><strong>They can tell you what\u2019s working and what\u2019s not.<\/strong> Sometimes, as business owners, we can\u2019t see the wood from the trees. An external person, like a VA, will be able to come into your business, assess your processes, and find areas where you can improve and <a href=\"https:\/\/www.jimdo.com/blog\/cut-business-costs\/\">cut business costs<\/a>. They will also bring their own expertise to the table. For example, if you\u2019ve been struggling to manage your schedule with a paper diary, your VA might help you streamline this process by integrating an app like Trello or Google Calendar into your workflow.<\/li><\/ul>\n\n\n\n<p>\u201cIt\u2019s not a \u2018one size fits all\u2019 with a VA,\u201d explains Caroline. \u201cA good VA will be able to guide you, even if you\u2019re not sure what kind of help you need.\u201d<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3 signs of a bad VA<\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li><strong>They can\u2019t follow instructions.<\/strong> A good VA will use their initiative and work without too much input from you, but they still need to be able to follow basic instructions.<br><\/li><li><strong>They don\u2019t ask enough questions.<\/strong> \u201cConstant questions can be annoying,\u201d agrees Caroline, \u201cBut VAs need to ask them, especially in the early stages, so they can get a feel of your business and how you work.\u201d<br><\/li><li><strong>They struggle to adapt to change. <\/strong>Your business might be different from one week to the next, so a good VA will be happy and able to switch up their focus with the needs of your business.<\/li><\/ul>\n\n\n\n<hr class=\"wp-block-separator\"\/>\n\n\n\n<p>We all feel the pressure of running our own business at times. Don\u2019t be afraid to ask for help and support when you need it, whether that means hiring a VA or making another change in your business. For me, it feels like hiring a virtual assistant to help me plan my time and improve my processes could be a good option.
